Lead Response Time Calculator

This lead response time calculator measures how fast your team responds across a group of leads. It also checks the work hours needed.

It measures weighted response time, your own response SLA attainment, preparation hours, and any gap against staffed hours.

Enter the number of leads in your fastest response band.

Enter one response time that represents this band.

Enter the number of leads in your middle response band.

Enter one response time that represents this band.

Enter the response-time limit your team chose.

Formula and assumptions

How this calculation works

Each band uses the representative response time you enter. A band counts toward SLA attainment when its representative time is within your selected SLA. Optional conversion exposure uses only your entered observations.

  • Weighted response time = sum of band lead count × representative time ÷ total leads
  • SLA attainment = leads in bands within your SLA ÷ total leads
  • Required preparation hours = total leads × preparation minutes per lead ÷ 60
  • Capacity gap = greater of zero or required preparation hours minus staffed hours

It does not prove that one response time causes a conversion rate. Any conversion comparison uses only rates you observed and entered.

Fictional aggregate example

Fictional aggregate example

This made-up lead group does not claim that a response time caused a sales result.

Made-up inputs

  • 50 leads at 10 minutes
  • 30 leads at 60 minutes
  • 20 leads at 240 minutes
  • 60-minute SLA, 12 preparation minutes per lead, and 15 staffed hours

Example result

  • 71-minute weighted response time
  • 80% SLA attainment
  • 20 preparation hours and a five-hour capacity gap

Questions

lead response time calculator FAQ

What is a representative response time?

It is one time you choose to stand for all leads in a response band.

Does a faster response always raise conversion?

This calculator does not make that claim. Optional comparisons use only rates you enter.

How is the backlog estimated?

It turns the preparation-hour gap into a lead count using your minutes per lead.
