Scope
Your Order may set more specific data rules.
This notice covers the Vellward site and managed AI employee services.
A signed Order, service agreement, or data addendum may set more specific rules for customer data.
Those signed rules control if they conflict with this notice.
Customer data means information a business gives Vellward for ordered work.
Data we handle
We collect data needed for your request or service.
We do not need every category from every person.
- Contact and business data. This may include your name, work contact details, title, company, and business context.
- Account and access data. This may include Clerk identifiers, organization membership, sign-in state, and access decisions.
- Order and billing data. This may include the ordered service, price, payment status, and Stripe references.
- AI employee task data. If ordered work is active, this may include instructions, source records, task inputs, drafts, outputs, and approvals.
- Fit check data. If you ask about the Closer, Vellward keeps the contact, company, sales, and consent details you share. We use them to check fit and send your next step.
- Site and service activity. This may include page events, timestamps, request IDs, errors, security events, and audit records.
- Messages. This includes information you send through an approved support channel or the contact path in your Order.
Where data comes from
Most data comes from you or your business.
You may give data through a form, an account, support, or ordered work.
An authorized customer may give Vellward data about its staff, leads, or clients.
An Order may allow connected systems to provide data after customer approval.
Stripe sends billing events. Clerk sends account and organization events.
The site and service create limited operational and security records.
Why we use data
We use data to provide and protect the agreed service.
- Review and respond to Closer fit checks.
- Create accounts and check company access.
- Perform active tasks and approval steps stated in an Order.
- Prepare and return outputs when ordered work is active.
- Process payments and keep order records.
- Provide support and service notices.
- Prevent abuse and investigate service errors.
- Meet record duties and enforce agreements.
Vellward uses contact details for sales follow-up only when you ask, consent, or an agreement allows it.
You may opt out of those messages.
Providers and sharing
Service providers receive data for a defined job.
Vellward does not sell personal data.
- Stripe processes payment method details and billing events.
- Clerk provides sign-in and organization identity services.
- Hosting and database providers store and deliver the site and service.
- Security and communications providers support approved service functions.
- AI model and execution providers may process task inputs and outputs for ordered work. For a fit check reply, they receive only approved facts needed for that task. Vellward keeps your contact details in its lead system.
Vellward may also share data when law requires it.
Staff and contractors may access data only when their work requires it.
Provider terms may also apply when you use a provider-hosted page.
Customer control
The customer controls what it shares for ordered work.
The customer must have the right to give Vellward the data and access it approves.
A customer owner may ask to change or remove approved access.
Vellward handles valid customer instructions under the Order and applicable law.
If a customer gave us your data, contact that customer first about its records.
Vellward will support the customer when the Order or law requires it.
Requests and choices
You may ask about data tied to you.
Depending on your location and agreement, you may ask for access, correction, export, deletion, or limits on use.
Vellward may need to verify your identity and authority before acting.
Some requests must go through the business customer that supplied the data.
Removing needed data or access may stop part of the service.
Vellward handles each request under the signed Order and applicable law.
Retention
Different records have different retention needs.
Fit check and email update records carry a retention date.
If ordered work is active, its task data follows the Order and customer instructions.
Account records may remain while the account or service is active.
Billing, consent, security, and audit records may stay as needed for their purpose or applicable law.
An active billing dispute may require Vellward to keep related records longer.
A deletion request may not apply to every record.

Security
Vellward uses safeguards suited to the data and service.
Vellward uses reasonable administrative and technical safeguards.
These may include scoped access, company separation, request checks, and audit records.
Vellward limits provider access to the work that provider performs.
No internet service can promise perfect security.
Keep your sign-in details safe and remove access that is no longer needed.
Use your support channel if you think an account or connection is at risk.
Browser data
The site uses limited browser storage and cookies.
These tools support sign-in, theme choice, security checks, and session continuation.
They also support limited first-party site events.
Provider-hosted pages may use their own cookies under their privacy terms.
Updates and contact
Use your Order or support channel for privacy questions.
Vellward may update this notice when the site or service changes.
The date at the top shows the latest version.
A signed Order may require a separate notice for a material change.
For a privacy question or request, use the contact details in your signed Order or the support channel already provided to you.
A prospect may also reply to a message about the Closer offer.
